Questions every business
asks us first.
No hype, no hand-waving. If your question isn't here, ask a human.
What does an AI integration company actually do?
We connect AI to the tools your business already uses — email, website, accounting, CRM, store — so repetitive work happens automatically. That covers private AI servers, AI assistants on your website, workflow automation (email triage, quote follow-up, invoice data entry, product feeds) and fully custom builds like document Q&A and voice agents. You bring the busywork; we make it run itself.
What kind of businesses do you work with?
Mostly Australian small and mid-sized businesses: trades, retail and ecommerce, professional services, health, real estate, manufacturing and software teams. If your team spends hours each week on email, quotes, paperwork or support chat, there is almost certainly a workflow worth automating.
How much does it cost?
Every engagement starts with a fixed-scope, fixed-price pilot — you know the number before we start. Simple automations and website assistants sit at the lower end; private AI servers and custom builds scale with the hardware and complexity. Fill in the request form with your budget range and we'll tell you honestly what fits inside it.
How long until something is actually live?
Typically under 14 days from first call to a working pilot on your real workload — often faster for website assistants and single workflows. We deliberately avoid six-month discovery projects: one workflow, live, measured, then expand.
Is our data safe? Where does it go?
Integrations are scoped to the minimum access they need, credentials are stored server-side, and for sensitive workloads we deploy private AI servers — including Australian-region or on-premises hosting — so prompts and documents never leave infrastructure you control and never train anyone else's model. Data handling is documented in every build.
Will AI replace our staff?
In our experience it replaces the part of the job everyone hates: re-keying data, chasing, triaging, drafting the same reply for the hundredth time. Your people stop being data-entry clerks and get their hours back for the work that actually needs judgement. The businesses that win with AI redeploy time; they don't just cut it.
What systems can you connect to?
Gmail and Google Workspace, Outlook and Microsoft 365, WordPress and WooCommerce, Shopify, Xero, MYOB, QuickBooks, Stripe, HubSpot and most CRMs, calendars, Google Merchant and social platforms — plus custom software via API. If it has an API (and sometimes even if it doesn't), we can usually wire AI into it.
What is an AI server and why would we want one?
An AI server is your own private ChatGPT-class system running on hardware you control — a team chat workspace plus an API endpoint for your software. Businesses choose one when data can't go to public AI tools (legal, medical, financial), when heavy per-seat subscription costs add up, or when they're building AI into their own product and want predictable costs with no vendor lock-in. More on the AI Servers page.
Can the AI make mistakes? How do you control that?
Yes — any AI can. That's why everything we ship is approval-first: the AI drafts, a human taps approve, and every action is logged. Autonomy is earned with a measured accuracy record, and guardrails (like value thresholds that force human review) are built into the spec. You always know what ran and why.
How do we get started?
Fill in the project request form — it takes about two minutes and covers your systems, goals, timeline and budget. We reply within one business day with what AI can do, how we'd pilot it and a fixed price. Or send a quick question through the contact form and a human will answer.
Common tasks
“Can AI actually…?”
The everyday jobs businesses ask us about. You'll notice a pattern in the answers.
Can AI answer our phones after hours?
AI will do that. A natural-sounding voice agent picks up when you can't — answers common questions, takes bookings and messages, and logs every call. The 7pm enquiry books with you instead of the next number on Google.
Can AI reply to our customer emails?
AI will do that. It triages the inbox, drafts replies in your tone with your prices and policies, and queues them for one-tap approval — the morning inbox takes minutes instead of hours. See AI Automation.
Can AI chase our unpaid invoices?
AI will do that. It watches Xero, MYOB or QuickBooks for overdue invoices and sends polite, escalating reminders you approve — the awkward chasing handled, the cash in sooner.
Can AI follow up the quotes we send?
AI will do that. Every quote that goes quiet gets a well-timed, personal follow-up sequence, and warm replies land straight in your calendar. Quotes stop dying of silence.
Can AI enter supplier invoices into our accounting software?
AI will do that. It reads the PDF or photo — supplier, ABN, line items, GST — and creates the draft bill in Xero, MYOB or QuickBooks, coded and attached, ready for one-tap approval.
Can AI answer customer questions on our website?
AI will do that. An assistant trained on your pages, products and policies answers instantly 24/7, captures the lead's details, and hands over to a human the moment it should.
Can AI take bookings and appointments?
AI will do that. On your website or on the phone, it checks live availability, books the slot, sends confirmations and reminders, and handles reschedules without the phone tag.
Can AI write our product descriptions?
AI will do that. Hundreds of consistent, on-brand, SEO-aware descriptions from your specs and photos — plus the Google Merchant feed to go with them.
Can AI qualify the leads that come in?
AI will do that. It asks the right questions the moment an enquiry lands, scores the answers, books the good ones into your calendar and politely parks the rest.
Can AI post to our social media?
AI will do that. From one brief or product link it drafts the posts — even short videos with voice-over — schedules them across your channels, and nothing goes out until you approve it.
Can AI summarise our meetings and write the follow-ups?
AI will do that. Notes, decisions and action items land in your inbox minutes after the call — with the follow-up emails already drafted.
Can AI keep our prices and stock in sync?
AI will do that. Supplier lists in, store updated — prices, stock levels and product data synced between your suppliers, your store and your feeds on a schedule. Something else entirely? Ask — the answer is probably in the name.
